How to add to Gmail
- Click "Copy for Gmail" above
- Open Gmail → click the gear icon ⚙ → See all settings
- Scroll to the Signature section → click your signature (or create one)
- Click at the very top of your signature text field, before all existing content
- Press Ctrl+V (Windows) or ⌘V (Mac) to paste
- Click Save Changes at the bottom of the page
- Send a test email to yourself to confirm it looks correct
This works for Outlook on the web (outlook.office.com or outlook.office365.com) — including Microsoft 365 Business and Enterprise.

How to add in Outlook Web / Microsoft 365
- Click "Copy for Outlook Web" above
- Open outlook.office.com → click the gear icon ⚙ → View all Outlook settings
- Go to Mail → Compose and reply
- Click inside your signature editor, press Ctrl+Home to go to the top
- Press Ctrl+V to paste — the formatted insert will appear
- Click Save

How to add in Outlook desktop (2016 / 2019 / 365 app)
- Click "Copy for Outlook Desktop" above — this copies the rendered insert
- Open Outlook → File → Options → Mail → Signatures…
- Select your signature or click New
- Click at the very top of the signature text field
- Press Ctrl+V to paste
- Click OK → OK to save
- Note: the green badge corners will appear square — this is normal for Outlook desktop.
Copy the HTML below and paste it into your Exchange transport rule or the Microsoft 365 admin signature template. This HTML is Outlook-safe: table-based layout, inline styles only, no CSS classes.
How to deploy via Microsoft 365 admin
- Go to admin.microsoft.com → Exchange admin center
- Navigate to Mail flow → Rules → click + to create a new rule
- Set the condition to apply to all outgoing messages (or filter by department/sender)
- In the action, choose "Prepend a disclaimer" — paste the copied HTML
- Set fallback to Wrap and save the rule
- Alternatively, use the Microsoft 365 admin center → Settings → Org settings → Email → Email signatures (if available in your plan)
Apple Mail has limited HTML signature support. The easiest approach is to paste the visual insert — use the button below to copy it, then paste directly into your signature in Mail Preferences.
How to add to Apple Mail
- Click "Copy for Apple Mail" above (copies plain text)
- Open Mail → Settings → Signatures
- Select your account and click + to create or select existing
- Click at the top of the signature editor and paste
- Save and restart Mail for changes to take effect

Notes for IT
- All styling is inline — compatible with Gmail, Outlook, Apple Mail, and mobile clients
- The badge uses a pure CSS table cell (no image) — nothing for email clients to block or proxy
